Personal Information Protection Policies

The National Institute of Advanced Industrial Science and Technology (1-3-1 Kasumigaseki, Chiyoda, Tokyo 100-8921, Japan, hereinafter referred to as the “AIST”) stipulates this policy for protecting the personal information of user of the “RD20” website (hereinafter referred to as the “User”).

1. Basic Concept

When AIST operates RD20:Research and Development 20 for clean energy technologies (an international conference of leaders of national laboratories and other organizations in G20 countries on clean-energy technologies, hereinafter referred to as the “RD20”.) website (a website that begins in “https://rd20.aist.go.jp/” and is hereinafter referred to as this “Website”) , we take care to protect personal information of the User.
We handle personal information provided by the User on this Website appropriately in accordance with this policy and the “Act on the Protection of Personal Information” (Act No. 57 of 2003, hereinafter referred to as “APPI”.).
This policy also stipulates handling of “personal data” (which shall have the meaning set forth in Article 4 of General Data Protection Regulation (Regulation(EU)2016/679 (hereinafter referred to as “GDPR”)) of natural persons located in the European Economic Area (28 EU Member States, Iceland, Liechtenstein and Norway, and hereinafter referred to simply as the “EU”), when GDPR applies to handling of personal information (hereinafter “personal information” includes “personal data” (which shall have the meaning set forth in Article 4 of GDPR.)

2. Scope of Personal Information Collected

(1)We collect personal information concerning the User on this Website.

Name, e-mail address,country/region of residence, name of company/organization, department, job title, name of media in case of request for interview.

Internet domain name, IP address, information entered in when searching in this Website, information related to browsing this Website (access log)

(2) When the User registers to participate in the RD20, the User needs to provide the following information among “(1)” above, and if such information is not provided, the User cannot register to participate in the RD20.
Name, e-mail address, country of residence/region, name of company/organization, department name, and title

(3) When the User makes an inquiry on this Website, the User needs to provide the following information among “(1)” above, and if such information is not provided, the User cannot make an inquiry.
Name, e-mail address, country/region of residence

(4) When the User requests for an interview the RD20, the User needs to provide the following information among “(1)” above. If such information is not provided, the User cannot request for interview the RD20.
Name, e-mail address, country of residence/region, name of company/organization, department name, and title

(5) When the User requests a press mail registration of the RD20, the User needs to provide the following information among “(1)” above. If such information is not provided, the User cannot register it.
Name, e-mail address, country of residence/region, and name of company/organization

(6) When the User registers to participate in a workshop and registers to receive email invitations to the workshop, the User needs to provide the following information among “(1)” above, and if such information is not provided, the User cannot register to participate in a workshop.
Name, e-mail address, country/region of residence, name of company/organization, and job title

3. Purpose of Use of Collected Information

(1)We collect and use the personal information described in Section “2.” above for the following purposes:
The handling of personal information when GDPR is applied is based on the legal grounds stipulated in the parentheses for the respective purposes of use. As a legal basis as set forth in Article 6, Paragraph 1 (f) of GDPR, AIST has the legitimate interest to manage and the operate RD20 as a Japanese national institute.
①To register to participate in RD20 and its planning (e.g.workshops) (necessity to perform our contract)
②To respond to interviews on RD20 (the User’s consent)
③To guide the planning of lectures and other events held at the RD20and/or AIST (the User’s consent)
④To respond to inquiries and to inform user (necessity to perform our contract)
⑤To investigate in the event of illegal activities such as unauthorized access and intimidation (legitimate interests)

 (2) The User has the right to withdraw his/her consent to the use of item 2 of the preceding paragraph at any time. In the event of withdrawal of consent, please contact the contact desk listed in Section “9. Contact Center for Inquiries about Questions and Complaint Processing, etc.” below.

4. Provision to a Third Party

AIST will not provide personal information collected on this Website to any third parties in Japan overseas without obtaining prior consent of the User, except in cases permitted under applicable laws and regulations.

5. Security Control Measures

In accordance with AIST’s Privacy Policy and Fundamental policy on Information security, AIST shall take the necessary and appropriate measures for managing the security of personal information including preventing the leaking, loss or damage of the personal information collected. AIST also exercises the necessary and adequate supervision over its employees to ensure the secure management of the personal information.

6. Handling of Cookie

This Website uses Cookie and similar techniques for tracking or analyzing (hereinafter collectively referred to as “Cookie”) in order to provide the User with appropriate services.

7. User’s Rights as the Subject of the Personal Information

①Right to request access to personal information from AIST
②Right to request AIST to rectify or erase of personal information (including rights to be forgotten) or to restrict the processing of personal information concerning the User
③Right to request AIST to provide data portability facilities
④Right to lodge a complaint with a supervisory authority

(2) In the event of a request (including requests for disclosure, correction, suspension of use, or deletion of Retained Personal Information as defined in Article 76 to 108 of APPI) pursuant to any of the items of the preceding paragraph (excluding Section 4), please contact the contact desk listed in Section “9. 8. User’s Rights to Object

(1) The User has the right to object to AIST’s processing of personal information if user’s personal information is processed based on legitimate interests.

10. Retention Period of Personal Information

The personal information collected on this Website shall be stored for up to 2 years from the end of the meeting on which user registered to participate in RD20.
